Purpose of this document: canonical text to be displayed in the Self-Publishing Portal (and any other upload interface) at the point of content submission. Users must affirmatively acknowledge these statements before an upload is accepted.


A. Short form — for inline checkboxes

To be displayed next to individual checkboxes on the upload form. The user must tick each one before the "Submit" button is enabled.


To be displayed below the checkboxes as an expandable panel ("Show full terms of upload"). Plain-English restatement of the obligations the user is accepting.

B.3 License Grant

You grant to the Operator and its authorized infrastructure providers a non-exclusive, worldwide, royalty-free, sublicensable license to host, store, cache, reproduce, display, distribute, transmit, reformat, chunk, embed, index, and otherwise process the work for the purposes of operating the Service — including semantic indexing, search, related-work discovery, MCP tool responses, and academic-style quotation in derivative outputs.

This license is perpetual with respect to processing already performed (e.g., already-generated embeddings), but You may request removal of the work from active indexing at any time by contacting [email protected]. The Operator will act on such requests within a reasonable period.

In addition to the above license to the Operator, the work will be made available to end users of the Service under the public license You select for this submission (e.g., CC-BY 4.0, CC-BY-SA 4.0, CC-BY-NC 4.0, CC0, or another standard license offered in the license selector). The selected public license applies to Your readers; the license to the Operator above applies separately and is what permits Us to operate the indexing infrastructure.

B.4 Third-Party AI Processing

You understand and agree that, to operate the Service, the submitted work may be transmitted to third-party AI providers (e.g., for embedding generation, semantic chunking, or review assistance). These providers are selected on the basis of data-processing terms consistent with the Privacy Policy, and are not authorized to train their models on Your submission where such an option is available.

B.5 Non-Commercial Operation

You understand that OpenArx is operated on a non-commercial, cost-recovery basis by a natural person, and that no dividends or profit are distributed. Any fees or credits collected are applied to operational costs. You are not entitled to remuneration merely because Your submission is indexed or retrieved.

B.6 Responsibility and Indemnification

You remain solely responsible for the content You submit. The Operator does not pre-screen submissions and does not endorse any opinion, claim, or result contained in user-submitted works.

You agree to indemnify and hold harmless the Operator from any claim, loss, damage, or expense (including reasonable legal fees) arising from or relating to a breach of the representations and warranties above, as described more fully in the Terms of Service.

B.7 Removal and Retention

You may request removal of the work from active indexing and public retrieval at any time by contacting [email protected]. The Operator will process the request within a reasonable period.

Certain residual copies may persist for a reasonable period after removal (e.g., in backups, caches, or in the form of already-generated embeddings or aggregate statistics that cannot be individually reversed). These residual copies will not be actively served to users and will be overwritten or purged in the ordinary course.

If Your submission is licensed under a public license that does not grant You a unilateral right of withdrawal (e.g., a Creative Commons license already relied upon by third parties), Your removal right with respect to the Operator remains effective, but third-party copies lawfully made under the public license may remain outside the Operator's control.

B.8 Submissions That Contain Personal Data

If the submission contains personal data of the author (e.g., Your name, affiliation, ORCID), You consent to the publication of that data as part of the bibliographic metadata of Your work. If the submission contains personal data of other identifiable individuals (e.g., research subjects, interviewees), You represent and warrant that You have obtained all necessary consents or have another lawful basis for disclosure.

This consent is part of and governed by the Terms of Service, Privacy Policy, and Copyright / DMCA Policy. In the event of any conflict, the Terms of Service prevail.
